Automate PDF work

Applies to Farino PDF 1.62.6 and later · Updated

The Automation tab handles repetitive work: processing many files at once, watching a folder, running saved pipelines, checking tender paperwork and connecting scripts through a local API.

The batch tools work best with no document open. When a document is open, the panel starts with that document loaded.

Process many PDFs at once

Requires Business edition or higher

  1. Click Automation › Batch Processing.
  2. Drop the PDFs onto the panel, or click it to choose files. Click Add more PDFs to add more. Click × next to a file to remove it.
  3. Choose the Operation:
    • Compress every PDF: each page is re-rendered as a compressed image. Text in the result is no longer selectable.
    • Add text watermark to every PDF: type the Watermark text (default CONFIDENTIAL). It is placed diagonally on every page.
    • Convert every PDF to JPG images: one JPG per page, in a folder per PDF.
    • OCR every PDF → text files (Business): recognizes English and Indonesian text and saves it as text files.
  4. Click Run Batch & Download ZIP.
  5. In the Windows Save As dialog, choose where to save the ZIP file.

All results are collected in one ZIP file. You choose its location in the Save As dialog.

Protect many PDFs with passwords

Batch Protect encrypts each PDF with its own password from an Excel list. See Protect a PDF with a password.

Convert many CAD drawings

Requires Business edition or higher

  1. Click Automation › Batch CAD.
  2. Drop the drawings onto the panel. DXF and DWG files are converted. Other formats in the list are skipped.
  3. Choose Paper size (A4 to A0, default A3) and Orientation. Select Print in black only for monochrome output.
  4. Click Convert All & Download ZIP, then choose where to save the ZIP.

Each drawing becomes its own PDF. If a drawing contains entities that could not be converted, a -review.txt file listing them is added next to the PDF. For single drawings, see Convert.

Watch a folder

Requires Business edition or higher

Watch Folder compresses every new PDF that lands in a chosen folder, for example a scanner's output folder.

  1. Click Automation › Watch Folder.
  2. Click Browse…. The Windows folder picker opens. Choose the folder to watch.
  3. Click Start Watching. The status changes from IDLE to WATCHING.
  4. Copy or save PDFs into the folder. Each new PDF is compressed and saved with the same name in a processed subfolder.
  5. Click Stop to end watching.

The Activity list shows each file as it is detected and finished. Keep in mind:

  • Farino PDF must stay open while it watches the folder.
  • Only PDFs placed directly in the folder are processed, not those in subfolders.
  • Pages are re-rendered as compressed images, so text in the processed copy is not selectable. The original file stays in the watched folder.

Save export profiles

Requires Pro edition or higher

An export profile is a saved sequence of steps you can run on any PDF with one click.

  1. Click Automation › Export Profiles.
  2. Under Create a profile, type a Profile name.
  3. Select the steps:
    • Compress, with Lossless or Smart image.
    • Watermark, with the text to stamp diagonally on every page.
    • Page numbers, with the format 1 / 10, 1 or Page 1 of 10.
  4. Click Save Profile.

To use a profile, click Run next to it and choose a PDF. The steps run in order and the result opens in a new tab. Save it with File › Save As. Click ✕ to delete a profile. Profiles are stored on this computer.

Check tender documents

Requires Business edition or higher

Tender Checklist checks whether the standard documents for an Indonesian tender are present, warns about expired documents, and assembles everything into one PDF.

  1. Click Automation › Tender Checklist.
  2. Drop all tender documents onto the panel, or click Add documents.
  3. Type the Tender / package name.
  4. Set Warn if expiring within (days) (default 30).
  5. Add any Extra required documents, one per line.

The default checklist has 12 items: Deed of Incorporation & Amendments, NIB / OSS, Corporate Tax ID (NPWP), SPPKP / PKP, NIB / KBLI & sector permits, Business Entity Certificate (SBU), Financial Statements, Annual Tax Return / Tax Receipts, Work Experience List, Personnel List & CVs, Equipment List and Integrity Pact.

Files are matched by keywords in the file name and the document text, such as akta, nib, npwp, sbu or pakta. The app also reads validity dates that follow words like "berlaku sampai", "masa berlaku" or "valid until". Each document is marked as valid, expiring soon or expired.

Click Assemble Tender File (with checklist cover). The result starts with a checklist page that lists every document and marks missing and expired items. The documents follow in checklist order. The file opens in a new tab.

Use the local REST API

Requires Enterprise edition or higher

The REST API lets scripts on the same computer send PDFs to Farino PDF for processing. It is off by default.

  1. Click Automation › REST API.
  2. Click Start Local API. The status shows RUNNING · :8477.
  3. Click Copy token to copy the Session access token.
  4. Click Stop when you are done.

The API listens only on http://localhost:8477 and accepts requests from this computer. Every request needs the header Authorization: Bearer TOKEN. A new token is created each time the API starts.

EndpointRequest bodyResponse
GET /api/statusnoneJSON status
POST /api/compressraw PDF bytescompressed PDF
POST /api/mergea ZIP file containing PDFsone merged PDF, in file name order

Example:

curl -H "Authorization: Bearer TOKEN" --data-binary @in.pdf -o out.pdf http://localhost:8477/api/compress

Limits: one job runs at a time (a second request gets HTTP 429), requests can be up to 60 MB, and a job times out after 5 minutes. Farino PDF must stay open while the API runs.

Review the activity log

Requires Pro edition or higher

Activity Log keeps a local record of key document actions: finalized documents (with their SHA-256 fingerprint), document numbers, company templates and assembled tender files.

  1. Click Automation › Activity Log.
  2. Type in Search to filter by action, document or detail. Use From and To to limit the dates.
  3. Click Export to Excel (CSV) to save the filtered list.

The log is stored on this computer and keeps the latest 2,000 entries. Clear log deletes all entries.
